Prism Photographic Club Rules 2012

1. The Club shall be known as PRISM PHOTOGRAPHIC CLUB.

2. The Committee shall comprise the following, who will be elected from within the “Paid-Up” Membership:
President Vice-President Secretary Treasurer A minimum of 2 other members

The accounts will be audited annually by a person other than a Committee member.

3. The Committee will be elected each year at the Annual General Meeting (AGM) held in January.

4. Membership will be open to all-comers on payment of one year's subscription (for those who join during the year on a pro-rata basis) the sum of which will be decided at the AGM.

5. Meetings will be held on a Thursday evening at the Clubroom or at an outside event as detailed in the membership card issued on payment of the subscription.

6. Subscriptions must be paid by the second meeting after the AGM. Members whose subscriptions are still outstanding after this date will be deemed to be excluded from all Club competitions until fees are paid in full.

7. Visitors are welcome at all meetings, but may not vote in the League competitions. After two meetings, not necessarily consecutive, visitors must then declare their intention to become members.

8. Members must vote for first, second and third places and must not vote for their own print.

9. All members should endeavour to enter all Club competitions and events. In the event of a member entering prints but being absent from a meeting, one point will be deducted from the votes on each print.

10. Each member is permitted to submit up to TWO images in the league. The image size should be a max. 8” x 12” and maximum mount sizes to be 12” x 16”. Points are not transferable.

11. All works entered in any Club competition must have been taken by that member, for which they hold the sole copyright, (including computer images). Processing can be done by members or commercially.

12. Prism Photographic Club reserves the right to display members' prints entered for Club competition in any Club exhibitions held at a public venue or to submit the prints to the Press. If a member does not wish the print to be shown, he/she should put his wishes in writing on the back of the print.

13. An entry in the league table cannot be used again at a later date within the league programme but can be used for “Print and Portrait of the Year” or any additional competitions organised within the Club. Prints entered for a Print and Portrait of the Year competition may not be entered in subsequent years' Print and Portrait of the Year competitions.

14. Entries for the league competitions will be accepted up until the commencement of voting. Any discrepancies over size of print or mounting shall be the responsibility of the committee and the President. Amendment to size should be allowed up until commencement of voting. Should any challenge be made by a member relating to the above after commencement of voting and then upheld, the print or prints shall be withdrawn.
 
15. The print scoring used in the league table shall be as follows:
1 league point for entering a print5 points for 1st place4 points for 2nd place3 points for 3rd place2 points for 4th place1 point for 5th place

In the event of a tie there will be no re-voting and subsequent placings will be dropped.

16. The winner of each league will be the person with the most number of points gained over the year. In the event of a tie the trophy will be shared.

17. For the “Best Print and Best Portrait of the Year” competition, members may submit two prints for each section, of which the mount size cannot exceed a maximum of 20” x 16”, with the longest side not less than 9”.

18. The Prism Open which consists of three rounds each judged by a different judge, will run throughout the year. Two entries are permitted in each class. See competition guidelines for print sizes.

19. For the Lihou salver, (a specified local image) you may enter two images, maximum size is the same as league images. This is also judges by an external judge, usually someone with knowledge of the area chosen.

20. The Founders Trophy is a technical skills competition, for 2011 this is a Digitally Presented Image (DPI) and further details will follow later in the year.

21. Trophies for each of the club competitions will be presented annually to the members whose prints have been awarded First Place, or for the member who has finished first in the league, Prism Open and Founders Trophy.

22. The judging of the above will be carried out by a judge appointed by the Committee.

23. Final choice of dates and meetings and subjects of competitions will be decided by the Committee. Fixture / membership cards will be printed and made available to paid-up members by the next meeting following the AGM
 
24. If the Club is forced to close for whatever reason, all accounts will be paid and anything left forwarded to charity.

25. Any changes in the Rules can only be effected on the occasions of an Extraordinary General Meeting (EGM) 14 days before the meeting and written requests be given to be the Secretary by the 30th November for the Annual General Meeting (AGM).
